Privacy Policy

This policy explains what personal information we collect when you contact us or have work done, why we need it, who else handles it and what rights you have over it.

Who we are

Sandbanks Skylights Bournemouth installs and replaces skylights and rooflights in Bournemouth and the surrounding area. For the purposes of UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the controller of the personal information described here.

What we collect and where it comes from

The enquiry form

When you send the form on this website, we receive the details you enter: usually your name, email address, phone number, the address or postcode of the property, the type of work you are interested in and any message you add.

WhatsApp and email

If you message us on WhatsApp, we receive your phone number, the name on your WhatsApp profile and anything you send, including photos. The WhatsApp button on this site composes a message in your own WhatsApp app; nothing you type into it is stored by this website. If you email us, we receive your email address and the content of your message.

Surveys and jobs

If we survey or work on your property, we record the address, the measurements and notes on the survey sheet, photos of the roof and the room, the quote, your acceptance, invoices and payments, and any guarantee correspondence.

Using the website

This website does not run analytics or advertising tracking. Like any website, the server that hosts it may keep short-term technical logs, such as IP addresses and the pages requested, for security and to keep the site running. The cookie policy covers cookies and the embedded map.

We do not use your details for marketing unless you have asked us to, and we never sell or rent them. We do not make decisions about you by automated means.

Who else handles your information

We use a small number of service providers who process data on our behalf and only on our instructions:

  • Mortaro, the customer relationship management service that hosts our enquiry form and stores enquiries;
  • WhatsApp, part of Meta, when you choose to message us there, which also handles your details under its own privacy policy;
  • our email provider and our website host;
  • our accountant, for invoices and tax records.

Where the work is notifiable, we share the property address and details of the work with the building control body that signs it off, which may be BCP Council, another local authority or a registered building control approver. We may also share information where the law requires it.

Some providers may store data outside the UK. Where they do, we rely on the safeguards UK law requires, such as an adequacy decision or approved contract terms.

How long we keep it

  • Enquiries that do not lead to a survey or a job: up to 12 months from our last contact, then deleted.
  • Surveys and quotes that you do not accept: up to two years, in case you come back to us.
  • Customer records for completed jobs: for the length of the workmanship guarantee plus one year, so we can deal with any claim.
  • Invoices and financial records: six years from the end of the financial year they relate to, which covers the period tax law requires.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Some of these rights depend on the lawful basis we rely on; for example, we cannot delete records we must keep for tax purposes until that period ends.

To use any of these rights, email us. We will reply within one month, and we may ask you to confirm your identity first. There is no charge in normal circumstances.

Keeping it secure

We keep records in password-protected accounts, limit access to the people who need it to do the work, and use providers who apply their own security measures. Paper survey sheets are kept with the job file and disposed of securely when no longer needed.

Complaints to the regulator

If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk or by phone on 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it last changed.
